Payments and privacy
How Withers Solutions bills you, how you can pay, how Auto-Pay works, and what we hold about you. Each section says it plainly first, then gives the terms that apply.
Invoices
In short
We invoice weekly. The invoice arrives by email as a PDF with a link to your own invoice page, where you can see what was done, pay, or download a copy. It is due 7 days after it arrives unless we have agreed something else with you. If it goes unpaid we send a reminder, not a fee.
The terms
- Invoices are issued weekly in arrears for cleaning completed that week, plus any one-off work agreed with you.
- All prices include GST. Each invoice is a tax invoice showing the GST component.
- Payment is due 7 days after the invoice date unless other terms are agreed with you in writing.
- Reminders are sent by email two days before the due date, on the due date, and three days after. We do not charge late fees or interest.
- If you believe an invoice is wrong, email accounts@witherssolutions.com.au before the due date and we will hold it while we check.
- A credit or correction is issued as a credit note against the invoice, and the invoice page and any Auto-Pay charge use the corrected amount.
Ways to pay
In short
Bank transfer or PayID costs nothing extra. Card or direct debit through Stripe is there if you prefer it. Whatever you choose, your card and bank details go to Stripe, never to us.
The terms
- Bank transfer to the account shown on the invoice, using the invoice number as the reference.
- PayID to the address shown on the invoice.
- Card or direct debit through Stripe from the “Pay” button on your invoice page. This pays that one invoice only.
- Card and bank details are entered on pages run by Stripe Payments Australia Pty Ltd. Withers Solutions never sees or stores them.
- We do not add a surcharge for any payment method.
- A card payment is confirmed at once. A direct debit takes up to 3 business days to clear, and the invoice shows as paid when it does.
- If a transfer arrives short, the invoice page shows the balance and any reminder asks for the balance only.
Auto-Pay
In short
Auto-Pay is optional. If you turn it on, each invoice is charged to your saved card or bank account on its due date, so nothing needs pressing. You choose a limit when you set it up. Anything above that limit you pay yourself. Every invoice still arrives by email before anything is taken, and it names the day it will be charged. You can stop Auto-Pay at any time from your invoice page.
The terms
- Auto-Pay is set up by you, from your invoice page, by saving a card or bank account with Stripe. It is never turned on by us.
- When you set it up you choose a limit per invoice. Invoices at or below that limit are charged automatically. Invoices above it are not, and the invoice tells you so. To change the limit, stop Auto-Pay and set it up again, or ask us.
- Each invoice is still emailed to you when it is issued, and the email states the amount and the date it will be charged.
- The charge is made on the due date, in the morning, Melbourne time. The amount is the invoice total less any credit or part payment already recorded against it.
- If you pay an Auto-Pay invoice yourself before the due date, no charge is made.
- If a card charge is declined, we email you and do not try again. The invoice stays open for you to pay another way.
- If a bank debit is refused, we email you and try once more three business days later. If that also fails, we email you and the invoice stays open for you to pay another way.
- You can stop Auto-Pay at any time from any of your invoice pages. Stopping it removes your saved card or bank account from Stripe. Invoices already charged are not affected.
- Bank account debits are made under the Direct Debit Request service agreement of Stripe Payments Australia Pty Ltd, below.
Direct debit
In short
Paying by bank account, either once from the Pay button or through Auto-Pay, uses Australia’s direct debit system. Stripe runs the debit on our behalf. A one-off debit takes one payment and nothing more. An Auto-Pay debit happens only on an invoice’s due date, only up to your limit, and only after the invoice has been emailed to you.
The terms
- Direct debits are processed by Stripe Payments Australia Pty Ltd, ACN 160 180 343, Direct Debit User ID 507156, on behalf of Withers Solutions, under the Direct Debit Request service agreement.
- By entering your bank details on Stripe’s page you authorise that debit. A one-off payment authorises one debit for that invoice only. Auto-Pay authorises a debit for each invoice within your limit on its due date.
- A one-off debit, and the setting up of Auto-Pay by bank account, are each confirmed by email from Withers Solutions at the time, showing the account used. Each Auto-Pay debit is notified in advance by the invoice email and confirmed by a receipt when it clears.
- Debits clear within 3 business days. Please keep enough in the account on the due date. Your bank may charge you for a failed debit.
- You can cancel a direct debit authority at any time by stopping Auto-Pay from your invoice page, or by emailing us. Your bank can also stop it.
- If you believe a debit was made in error, email us and we will refund it within 5 business days if it was. You may also dispute it with your bank.
Receipts and records
In short
Every payment gets a receipt by email, with a PDF attached. Your invoice page shows what has been paid.
The terms
- A receipt is emailed when a payment is confirmed. For a direct debit, that is when it clears.
- Your invoice page stays available after payment and shows the invoice, the payment and a downloadable PDF.
- Invoices and payment records are kept for five years, as tax law requires.
What we hold
In short
We keep what we need to clean your sites and bill you: contact details, site addresses and access notes, and your invoices and payments. Access notes are stored encrypted. We use Stripe for payments, Xero for accounting and Resend for email. We do not sell or share your details for any other purpose.
The terms
- We hold your business name, ABN where given, contact names, phone numbers and email addresses; the address of each site we clean and any access notes you give us; your invoices, credit notes and payment records; and a log of the emails we send you, including whether they were opened.
- Access notes such as door and alarm codes are stored encrypted and shown only to the cleaner rostered to that site.
- Card and bank details are held by Stripe, not by us. We hold only the last four digits and the type, so you can see what is saved.
- We share your details only with the services that do the work for us: Stripe Payments Australia Pty Ltd for payments, Xero for accounting, and Resend for sending email. Each holds only what it needs. Email is processed outside Australia by Resend.
- We do not sell your details, use them for advertising, or share them with anyone else unless the law requires it.
- Invoices and payment records are kept for five years. Other details are kept while you are a client and removed on request after that.
- If your details were ever exposed, we would tell you promptly and say what happened.
